Open Position: Administrative Assistant for Faith Formation

Reports to:  Minister of Faith Formation (MFF)

Supervises: N/A

Non-exempt Position

Up to 15 hours per week; schedule will include some Saturday and evening hours, and will fluctuate depending upon the needs of the congregation.

Overall Job Responsibilities

The Administrative Assistant for Faith Formation provides support to Cedar Lane’s faith formation program, with a focus on children and youth ministry.  

Essential Functions

  • Provide administrative support for Cedar Lane’s faith formation programming.
  • Ensure volunteers have needed materials, organizing and ordering supplies as needed.
  • Provide administrative support for volunteer recruitment, training, retention, and recognition
  • Provide administrative support for seasonal (i.e.: Trunk or Treat) and regular (i.e.: Parent’s Night Out) events
  • Organize administrative aspects of off-site programming, including travel arrangements
  • Ensures attendance is taken for all faith formation events and classes
  • Enters and maintains accurate faith formation-specific data within Cedar Lane’s Realm database
  • Publicizes faith formation programs via mass email, social media, and other communications channels; provides regular communication to families and volunteers
  • Respond to or route questions from parents and volunteers
  • Coordinate childcare as needed for congregational events

Additional Duties

  • Uphold Cedar Lane’s Safe Congregation Policies
  • Organize and maintains volunteer supply room
  • Attend staff meetings, staff retreats, and other meetings as required
  • Other duties as assigned

Knowledge and Skills Required

Strong attention to detail and an appreciation for systems and organization; ability to work efficiently and prioritize tasks.  Problem solving, initiative.  Ability to work independently but also ask questions.  Basic knowledge of conflict resolution and intercultural competence. 

Excellent written, verbal communication and interpersonal skills, as well as a customer-service orientation.  Ability to enforce policies while maintaining a professional demeanor.

Experience in an in-person office setting and familiarity with basic office equipment.  Familiarity with social media best practices and ability to create basic graphics.

Familiarity with a variety of platforms, services, and systems.  Examples include: Constant Contact, Facebook, Canva, Google Workspace, Zoom, Microsoft Office Suite, and Realm Church Management Software.  Ability to use phone, computer, and other office equipment; maintain paper files; and lift boxes and other materials of up to 25 pounds.

Location

The Administrative Assistant for Faith Formation is expected to work regularly onsite in Bethesda, MD.  Some tasks may be performed remotely; a remote work agreement between the employee and the employer will be completed. 

Compensation

Starting hourly wage $24.50 – $26.00, dependent upon experience.  Access to benefits, including health insurance (employee only or family); dental insurance; life insurance; and LTD insurance.
